Change items on a confirmed order

Change the quantity, size or unit price of a product on a confirmed order. go4.fashion recalculates the order total and reserves or releases stock to match the new pieces.

Before you start

  • The order is confirmed, has not shipped in full and is not cancelled.
  • The order has no “Locked” badge. If it has one, click “Unlock” at the top of the order; the message “Order unlocked for correction” confirms it. If the “Discount rules have changed” window opens instead, choose “Keep original prices”: the order is unlocked and the order editor opens with the order’s own prices. Leave the editor without saving and start at step 1.
  • Nobody is picking the order right now, and no pieces of this product are in a shipment that is packed and waiting to leave. If either applies, see “If it does not work”.

Change a product on the order

  1. 1Open the order and find the product: “Orders” → “Orders” → the order → the “Overview” tab → the “Ordered items” card. Each row is one product in one colour with its pieces per size, such as “XL 4” for RIVEN overshirt · Black.
  2. 2In the product’s row, open the row menu (⋮) and click “Edit”. The “Edit line” side panel opens for that product in that colour.
    ImportantIf the menu shows a sentence in place of “Edit”, that sentence names what blocks the row. The first table under “If it does not work” says what to do.

  3. 3Set the change. Each size has a counter for its pieces and a list to swap the size. “Unit price” changes the price of every size in the row. For example, raise XL from 4 to 6. The panel shows “Now 4 pcs · 1,513.60 zł” and “After saving 6 pcs · 2,270.40 zł”, and “Save” becomes active.
    ImportantThe size list swaps a size for another size of this product in this colour that the order does not have yet. To add a size and keep the current ones, or to add a colour, use “Edit order” (see “Other situations”).

    1 sets the pieces in a size, 2 swaps the size, 3 sets one price for the whole row. “Now” and “After saving” show the change before you save it.
  4. 4Add a “Reason” when your team should see why the order changed, for example “Requested by buyer”. It appears in “Activity” next to the change, and the boutique does not see it. Click “Save”: the message “Line updated” appears and the panel closes.
    Importantgo4.fashion does not email the boutique about changed items, so tell the boutique yourself.

Check the result

On the “Ordered items” card, the RIVEN overshirt · Black row shows “XL 6”, and its “Amount” matches the “After saving” figure. “Order total” goes up by the same amount as the row, to 8,127.00 zł. The “Activity” tab shows “Items changed: 1 changed”, with “HRB-1014-BLA-XL 4→6 · Reason: Requested by buyer” under it.

Other situations

Remove a product from the order

Use this when a product in one colour leaves the order. To take out one size and keep the others, set that size to 0 in step 3 instead.

  1. 1In the product’s row, open the row menu (⋮) and click “Remove”.
  2. 2In the “Remove this line?” window, check the sizes and pieces that leave the order.
    WarningA removed row cannot be restored. The product comes back only when you add it again through “Edit order”.
  3. 3Click “Remove”. The row disappears with the message “Line removed”, and “Order total” drops. “Activity” shows, for example, “Items changed: -1 removed”.

Add a product, colour or size the order does not have

Use this when the change needs something that is not under “Ordered items” yet.

  1. 1Click “Edit order” at the top of the order. The order editor opens with the order’s current items.
    ImportantThe order editor does not save as you work. Leaving the screen before “Place order” loses your changes.
  2. 2Pick the products and set the pieces in each size.
  3. 3Click “Review order”, then “Place order”.
  4. 4In the “Order #… confirmed” window, click “Check order”. The new rows are under “Ordered items” and the order keeps its number. “Activity” shows, for example, “Items changed: +1 added”.
